All-West Student Handbook

Eligibility

All students participating in WTSBOA sponsored and / or organized events must meet the following requirements:

  1. Eligibility shall be limited to the following:
    a.     Grades 5 – 8: Middle School Bands and Middle School Strings
    b.     Grades 9 – 10: High School Strings
    c.      Grades 9 – 12 High School Bands
    d.     Grades 11 – 12: High School Symphony Orchestra
    e.     Grades 5 – 12: Jazz Band (Only grades 9 – 12 are eligible to audition for All-State)
  2. The student must be a bona fide member of a member school’s band or orchestra. The student must also be fully enrolled and attending the same school.
  3. The teacher must be a member in good standing of WTSBOA, NAfME, and TnMEA.
  4. All student participation fees, institutional fees, and director fees must be paid in compliance with WTSBOA policies.
  5. Students participating in an All-West Ensemble must be properly chaperoned and this person assumes all liability for the student.
  6. Students eligible for All-State must participate fully in the All-West ensemble in which they were selected.  Failure to participate in All-West will remove the student from being eligible for All-State. 

All-West Rules and Regulations (Article XII Section 1)

  1. Eligibility shall be limited to students selected through the All-West auditions.
  2. On the day of the first rehearsal, directors will turn in any absentees and receive registration packets with student name tags and final instructions. Student should then report to their rehearsal areas to be seated. Registration chairperson should be notified of absentees as soon as possible.
  3. Students are responsible for having music, pencils, music stand, and all other necessary items at every rehearsal. Music stands will be provided for the performance.
  4. A list of all equipment percussionists need to bring will be included in the music folder.
  5. Students must remain quiet at all times during the rehearsal; listening carefully to the director’s instructions. Disrespectful behavior may result in dismissal from the event.
  6. Students arriving late to rehearsal may be moved to the last chair at the discretion of the Executive Board. Other action may also be taken.
  7. When the rehearsal is concluded, it is the student’s director responsibility to see that students leave the area immediately.
  8. All-West patches will be distributed after the last group has performed their concert.
  9. Recordings of performances will be made available to students to purchase.
  10. Students are required to attend all rehearsals and concerts.
  11. Students will be in their seats and ready to begin at least ten (10) minutes prior to the start of each rehearsal.
  12. Student will not chew gum or eat food in rehearsals.
  13. The possession, use, or distribution of alcohol and / or illegal drugs is strictly prohibited.
  14. The possession, use, or distribution of tobacco, tobacco products, smokeless tobacco and vapor products, including electronic cigarettes and associated paraphernalia is strictly prohibited.
  15. Students must wear name tags at all times.
  16. Cell phones or any other disruptive electronic devices must be turned off and out of sight during rehearsals and performances.
  17. Any variation from the above rules, procedures, and regulations must be resolved by the Executive Committee and can result in removal from the event.

Attire for the All-West Ensembles

  • Band students will wear their school concert uniform at the concert performance.
  • Middle school orchestra students will wear black bottoms and white tops.
  • High school orchestra students will wear concert black.
  • Jazz Band will wear all black

All-West Fees

  • Upon being selected by audition, students pay a non-refundable $55.00 All-West registration fee, to be collected by the registration date.
  • Admission to all All-West concerts will be free of charge.
  • A late fee of $100 will be assessed for registration received after the postmark deadline.

Percussionist Instrument, Sticks, and Mallet Requirements

Bass drum, chime, and gong mallets will be the only provided mallets at the All-West Clinic. Students are required to have all necessary items during the clinic. Please be sure to bring all concert snare sticks, marching snare sticks, suspended cymbal mallets, hard/soft xylophone mallets, and general timpani sticks required for each band.

As a member of an All-West ensemble, students are responsible for bringing specialized instruments needs that were assigned and placed in each student's folder at auditions. 

In order to be eligible for participation in the All-West Clinic, students must adhere to the above listed requirements. Failure to bring assigned instruments, sticks and mallets will result in the student not being allow to participate in the clinic and concert.

By signing this electronic document, you are stating that you have read and understand the above rules and regulations required for participating in the WTSBOA All-West Clinics. Any student who does not complete and submit this document with registration fees will not be allowed to participate in the All-West Clinic. Registration fees are Non-Refundable.

Please note: Students will need to provide their own music stand for the clinic.
